U.S. Department of State Authentication and Embassy Legalization

Documents which are issued in the United States that will be used in another country must be “legalized” before the foreign country will recognize them as being valid. Examples of such documents include but are not limited to: Powers of Attorney; incorporation documents, bylaws and other corporate documents; legal contracts; birth, death and marriage certificates; adoption papers, etc. Countries belonging to the Hague Convention usually only require an Apostille. We can handle this request as well. Please call us if you need to know if the country in which your document will be used is part of The Hague Convention or you need us to obtain the Apostille for you.

The process for legalization is time-consuming and tedious. There is a specific order in which you obtain the legalization and no step can be skipped. A series of certificates and seals are attached to the documents and each is a certification of the previous. The guidelines for legalization can vary depending on the type of document which is why it is best to let our experienced staff handle this process for you. For example, documents issued by a Federal Court require certification with Justice Management whereas a document issued at a State Secretary of State’s Office does not. A document notarized in North Carolina requires certification at the county level prior to the Secretary of State of North Carolina certification. This is just an example of how intricate the process can be.

Embassy requirements and fees also vary from one another. Some embassies charge in excess of $100.00 per document; therefore, you may be required to submit a deposit with your order. If the requirements are not met, the documents will be rejected causing further delay. We have the know how to get the job done right the first time.
